Project Coordinator 👷♀️
Ready to dive into the fast-paced world of project management? We're looking for a super organized and proactive Project Coordinator to join our awesome team! If you thrive on juggling multiple tasks, have an eye for detail, and love making things happen, this is your chance to shine. ✨
What you'll be doing day-to-day:
- Team Player Extraordinaire: You'll be the go-to person, connecting with our Sales crew, clients, installers, and Logistics team to make sure installation projects run smoother than a fresh install. 🤝
- Master Scheduler: Keep installations on track, coordinate deliveries like a pro, and make sure we have all the materials needed, even allocating them to the warehouse like a wizard. 🚚
- Design Dynamo: Get hands-on with creating system design drawings, test sheets, and all the essential project paperwork for our installation and repair gurus. ✍️
- CRM Champion: Keep our Customer Relationship Management system on point, manage the installation inbox like a boss, and meticulously save and record all project documents, including those crucial site sign-offs. 📂
- Stock & Safety Savvy: Assist engineers with weekly stock takes, maintain up-to-date records for stock, tools, and those important toolbox talks. 🛠️
- Logistics Legend: Book deliveries, inductions, and accommodation for our travelling installers and engineers. ✈️
- Documentation Wizard: Help prepare essential project documents like Friday Packs, ITP Packs, Package Quality Plans, PUWER Registers, RAMs, and site health and safety paperwork. 📜
- Financial Whiz (Sort Of!): Support project valuations with Accounts, draft repair quotations, organize commissioning and spare parts, and handle manufacturer claims. 💰
- Safety Advocate: Keep an eye on on-site assessment forms, flag any issues, and champion Gaia's commitment to health and safety. 💚
- General Business Superstar: Provide all-around support for the business, attend meetings, and step up to cover for Project Managers when needed. 🌟
Key responsibilities
- Coordinate installation projects by liaising with various stakeholders.
- Manage project documentation, CRM, and installation communication.
- Support logistical operations, including material allocation and stock management.
- Monitor on-site health and safety compliance and report issues.
- Assist with project valuations, raise quotations, and provide general business support.
