About the role
Property Compliance Coordinator 🔑
Are you ready to dive into the world of property management and keep things running smoothly? We're looking for a detail-oriented individual to join our team and ensure our properties meet all the necessary safety standards. Think of yourself as the guardian of compliance! 🛡️
Your mission, should you choose to accept it, involves:
- Keeping an eye on our Compliance Tracker: You'll be spotting certificates and licences (like gas safety, EICR, EPC, alarms, and fire risk assessments) that are nearing their expiry date. Then, you'll be the one booking those essential renewals or lining up the right contractors. 🗓️
- Document Dynamo: New certificates from engineers? Incoming documents? You'll process them like a pro and get them uploaded to the correct property file. 📁
- Communication King/Queen: You'll be the go-to person for emails and calls from landlords, tenants, contractors, and agents. Your expertise will be needed for compliance queries, arranging access, and scheduling appointments. 📞
- Council Connector: Liaising with the council on inspections, notices, and licence applications will be part of your role. You'll also be drafting and sending out important correspondence. ✍️
- Paperwork Paladin: Get ready to prepare and chase tenancy paperwork, including agreements, deposit protection details, prescribed information, and all those statutory documents. 📄
- Work Order Wizard: You'll raise and follow up on work orders for any safety-related repairs or installations. Your mission? To make sure those completion certificates make their way back to us. ✅
- Move-Out Maestro: Support notices and move-outs by preparing the necessary paperwork, liaising with solicitors, and assisting tenants during their departure. 👋
- Record Keeper Supreme: Keep our records and reports spick and span so every property has a clear audit trail. You'll also be flagging any risks or overdue items to management. 📊
This role is perfect for someone who thrives on organisation, enjoys problem-solving, and wants to make a real impact in the property sector. If you're ready to take on responsibility and keep our properties safe and sound, we want to hear from you! ✨
Key responsibilities
- Monitor and arrange renewals for compliance certificates and licences.
- Process and manage incoming documents and records.
- Respond to communications from stakeholders regarding compliance and appointments.
- Liaise with external bodies on inspections, notices, and licence applications.
- Prepare and manage tenancy-related documentation.
