Parish Office Assistant ๐Ÿ—“๏ธ

We're looking for a motivated and organized individual to join our team and support our Parish Clerk in keeping everything running smoothly. If you're detail-oriented and ready to learn, this could be the perfect opportunity for you!

What you'll be doing:

  • Office Rockstar: Helping out with all sorts of office tasks like printing, making copies, and filing important documents. ๐Ÿ–จ๏ธ ๐Ÿ“„
  • Scheduling Guru: Managing calendars, appointments, inspections, and keeping track of maintenance works and invoices. ๐Ÿ“… ๐Ÿงพ
  • Communication Hub: Handling phone calls, emails, letters, and packages โ€“ being the first point of contact for many! ๐Ÿ“ž โœ‰๏ธ ๐Ÿ“ฆ
  • Stock Master: Keeping an eye on office supplies and ordering more when needed. โœ๏ธ ๐Ÿ“ฆ
  • Finance Friend: Helping to manage records of building maintenance costs and keeping financial folders and online files organized (think invoices, receipts, and payments). ๐Ÿ’ฐ ๐Ÿ“‚
  • Booking Boss: Maintaining our hall bookings system and spreading the word to attract new hirers. ๐Ÿ“ข ๐Ÿฅณ
  • Clerk's Right-Hand: Providing general support to the Parish Clerk to ensure we're efficient and following all our policies. ๐Ÿ’ช

We'll provide you with all the training you need to excel in this role! โœจ

Key responsibilities

  • Provide administrative support, including printing, copying, filing documents, managing phone calls, and correspondence.
  • Manage agendas, appointments, inspections, maintenance works, and invoices.
  • Track stocks of office supplies and place orders when necessary.
  • Manage financial records, folders, and online files to support the Councilโ€™s accounting system.
  • Maintain the hall bookings system and promote the hall to new hirers.
