What you'll be doing:

  • Be the voice of our company: Answer incoming calls, take clear messages, and connect people to the right team members. 🗣️
  • Master email communication: Respond to customer emails professionally, with awesome support from your colleagues. ✉️
  • Become a quoting whiz: Help prepare accurate quotations using our pricing and information. 💰
  • Process orders like a pro: Accurately process customer orders, double-checking product codes, quantities, prices, and delivery details. 📦
  • Keep everyone in the loop: Prepare and send order acknowledgements so customers know we've got their order. ✅
  • Handle invoices and paperwork: Assist in preparing invoices and other essential sales documents. 📄
  • Keep our systems up-to-date: Update customer details, order records, and important information on our computer systems. 💻
  • Team up with the warehouse: Check stock availability and confirm details with our warehouse team. 🤝
  • Get pricing and product intel: Liaise with colleagues and suppliers to get prices, product info, and delivery updates. 🚚
  • Keep customers happy: Inform customers about the progress of their inquiries and orders. 😊
  • Follow up and follow through: Chase up quotations and outstanding inquiries as needed. 🎯
  • Solve customer puzzles: Help resolve straightforward customer queries and pass more complex issues to the right person. 🤔
  • Support the warehouse hustle: Work with the warehouse team to ensure orders are prepared and dispatched correctly. You'll even spend some time in the warehouse learning about our products and how things work! 💡
  • Stay organized: File emails, quotations, orders, and other business documents neatly. 🗂️
  • Become a product expert: Learn all about our products so you can provide accurate info and spot when technical advice is needed. 🤓
  • Handle info with care: Treat all customer and business information confidentially. 🔒
  • Be a team player: Support colleagues with general office and administrative tasks. 🤗
  • Grow and learn: Complete apprenticeship coursework, attend training sessions, and participate in progress reviews. 🌱

Key responsibilities

  • Handle incoming customer enquiries via telephone and email, providing support and directing as needed.
  • Process customer orders, prepare quotations, and manage associated sales documentation.
  • Update and maintain accurate customer details and order records on internal systems.
  • Liaise with colleagues and suppliers to obtain information and support warehouse operations.
  • Undertake product learning, uphold confidentiality, and complete apprenticeship coursework.
