What You'll Be Doing (Key Responsibilities):

HSEQ Superpowers 💪:

  • Keep our health and safety records, registers, databases, and filing systems in tip-top shape. 📂
  • Help manage training records, qualifications, licenses, and competency matrices. 🎓
  • Ensure our company documents are produced, issued, and controlled accurately, keeping track of numbers and revisions. 📄
  • Assist with administering audits, inspections, accident reports, and corrective actions. 🚨
  • Update our compliance systems with all the latest info. 💻
  • Support the maintenance of our accreditations, certifications, and supplier compliance records. ✅
  • Keep an eye on training and compliance expiry dates and help with renewals. ⏰
  • Prepare reports, meeting minutes, and HSEQ performance information. 📊
  • Provide admin support for HSEQ projects and awesome continuous improvement initiatives. 🚀

HR Heroics 🦸:

  • Recruitment & Onboarding:
  • Be part of the recruitment process by arranging interviews and communicating with candidates. 🗣️
  • Help with pre-employment checks like Right to Work and reference requests. 📝
  • Prepare offer letters, contracts, and onboarding documents. 💌
  • Support new starters during their onboarding and induction. 👋
  • Employee Records & HR Systems:
  • Maintain accurate employee records, personnel files, and HR databases. 🗄️
  • Keep our BrightHR system up-to-date with all employee information. 🌟
  • Set up new employees on BrightHR and manage employee lifecycle changes, including contract updates and terminations. 🔄
  • Record absence, holiday, training, and compliance details in our HR systems. 🗓️
  • HR Admin & Employee Support:
  • Prepare HR correspondence, forms, and employee communications. ✉️
  • Assist with annual leave, sickness absence, and return-to-work processes. 🤒
  • Maintain employee training and development records and help coordinate training activities. 📚
  • Provide admin support for probation reviews, disciplinary matters, grievances, and other employee relations processes, working with the HR Manager. ⚖️
  • Prepare meeting invitations, documentation, and correspondence for HR meetings. 🗓️
  • Ensure all employee information is kept confidential and follows GDPR rules. 🔒
  • HR Projects & Continuous Improvement:
  • Support the HR Manager with HR projects and improvement initiatives. 💡
  • Assist with reviewing and maintaining BrightHR permissions, workflows, and system administration. ⚙️
  • Help develop and maintain company-wide training matrices and schedules. 📈
  • Assist with HR policy reviews, process improvements, and HR system enhancements. 🛠️
  • Prepare reports and data to support HR initiatives and projects. 📊

  • Maintain and update HSEQ records, registers, and compliance systems.

  • Provide administrative support for HR processes, employee relations, and projects.
  • Ensure confidentiality and accuracy in all administrative tasks.
