IP Team Support Apprentice ๐Ÿš€

Location: Manchester

Reports to: Senior IP Paralegal

Hours: 34 hours per week (Full-time)

Are you looking to kickstart your career in the exciting world of Intellectual Property? โœจ We're seeking an enthusiastic and organised IP Team Support Apprentice to join our Manchester team. This is a fantastic opportunity to gain hands-on experience and develop valuable skills in a supportive environment.

What you'll be doing:

Correspondence & Document Handling ๐Ÿ“‚

  • Saving incoming emails and documents to our system (Equinox) with clear titles. ๐Ÿ“
  • Acknowledging emails and crafting simple, standard replies for cases (like filing, publication, or grants). โœ๏ธ
  • Collecting expense receipts and sending them to the accounts team. ๐Ÿงพ
  • Providing cover and support for the team with Equinox uploads. โฌ†๏ธ
  • Checking case summaries against Equinox and finding important cited documents using Espacenet. ๐Ÿ”Ž
  • Booking video calls (VCs) and keeping track of admin tasks on Equinox. ๐Ÿ—“๏ธ
  • Sending reminders and acknowledgements to the European Patent Office (EPO) as needed. ๐Ÿ“ง
  • Sending closed files to our Halifax office, double-checking Equinox, and ensuring all charges are billed and the file status is accurate. โœ…
  • Creating opposition files by downloading documents from the EPO register, organising correspondence, and creating tabs. ๐Ÿ“š
  • Processing incoming post and original documents according to our guide. ๐Ÿ“ฌ

Office Administration ๐Ÿข

  • Welcoming visitors, organising refreshments/catering, and ensuring meeting rooms are spotless. โ˜•
  • Managing stationery orders, scanning and saving mail, franking outgoing mail, and sending recorded deliveries. ๐Ÿ“ฆ
  • Handling the weekly office shop for essentials like fruit, coffee, and milk. ๐ŸŽ๐Ÿฅ›
  • Ordering lunches for internal meetings, confirming attendee numbers with the team. ๐Ÿ”
  • Assisting with business travel arrangements when required. โœˆ๏ธ
  • Keeping the office tidy and organised, and helping with archiving tasks. ๐Ÿ—„๏ธ
  • Answering incoming calls and taking messages accurately. ๐Ÿ“ž
  • Printing, photocopying, scanning, and uploading documents as needed. ๐Ÿ–จ๏ธ
