What You'll Be Doing:

  • Organizing and documenting learner recruitment, interviews, and inductions – keeping all the important paperwork tidy. 📄
  • Helping our Learning Progression Advisors (LPAs) and Centre Managers (CMs) with our Arbor system. 💻
  • Setting up and managing learner documents for DBS checks and sending out weekly updates. 🕵️‍♀️
  • Keeping our bursary application files in order and making sure payment spreadsheets are ready weekly. 💰
  • Tracking learner attendance, chasing up absences, and reporting to schools and support agencies. 📣
  • Managing our Health & Safety sign-in book and updating our H&S files. ✅
  • Compiling and checking all learner files, ensuring everything is signed and complete. 💯
  • Processing admin documents for all our programmes. 📑
  • Filing (lots of it!). 📂
  • Providing Arbor attendance reports and induction questionnaires at six-week reviews. 📊
  • Answering the phone and helping with enquiries. 📞
  • Inputting data into Arbor and the ILR system. 🔢
  • Letting learners know about upcoming exams and holidays. 🗓️
  • Archiving old learner files and completing yearly archiving tasks. 📦
  • Keeping records of employers and placements up-to-date. 🤝
  • Maintaining external contact lists and learner contact details. 📞
  • Tracking and reporting on learner progression monthly. 📈
  • Managing learner certificates. 📜
  • Checking stationery stock and ordering supplies. ✏️
  • Keeping learner snacks and drinks stocked. 🍎
  • Attending meetings and taking minutes. ✍️
  • Managing the free school meals spreadsheet. 🥗
  • Checking classrooms at the end of the day. 🏫
  • Monitoring fire exits. 🔥
  • Updating your mobile phone with learner details. 📱
  • Ensuring the photocopier is ready to go with paper and toner. 🖨️
  • Tracking laptop and charger usage and maintenance. 🖱️
  • Managing your diary and calendar. 📅
  • Representing First Rung at promotional events. 🎉
  • Assisting the CM/LPA on results day. 🥳
  • Working across our Colindale and Ponder End Centres as needed. 📍
  • Completing all training and tasks for your Level 3 qualification. 📚
  • Keeping all learner and employer information confidential and GDPR compliant. 🔒
  • Leading the Learner Voice Forum and reporting findings. 🗣️
  • Helping with the Jack Petchey Award. 🏆
  • Understanding and applying First Rung's Health & Safety and Equal Opportunity policies. ⚖️
  • Being a positive part of First Rung's marketing and promotional efforts. ✨

Key responsibilities

  • Arrange and record learner recruitment, interview, and induction processes, maintaining all relevant paperwork and documentation.
  • Assist with Arbor upload and maintenance, and manage internal learner documentation for DBS applications.
  • Maintain bursary application files and make available Bursary payments spreadsheets weekly.
  • Monitor learner attendance, manage attendance call-ups and recordings, and inform relevant support agencies of reports.
  • Maintain confidentiality, ensure GDPR compliance, and adhere to safeguarding policies and practices.
