What You'll Be Doing:
- Reception & First Impressions:
- Be the friendly face and voice of our organization, providing a welcoming and efficient reception service. 👋
- Handle incoming calls, answer general questions, and take messages like a pro. 📞
- Keep our reception area looking sharp with up-to-date literature. 📚
- Admin & Office Support:
- Help us keep things running smoothly by providing administrative and clerical support. ✍️
- Manage and update our information systems, including databases. 💻
- Keep our filing systems in order – both physical and digital! 📂
- Become a whiz with office equipment like photocopiers and fax machines, and report any glitches. 🖨️
- Meetings & Governance Support:
- Join staff meetings and take clear, concise minutes. 📝
- Help prepare and send out meeting agendas and important documents to our Board members. ✉️
- Coordinate meeting logistics – dates, times, and arrangements. 🗓️
- Attend Board and committee meetings to capture key discussions, decisions, and action points. ✅
- Maintain an organized and secure archive of all meeting-related documents. 📦

What We're Looking For:

Key responsibilities
- Provide reception service, directing incoming calls and responding to general enquiries.

- Maintain effective information systems, including databases and filing systems.
- Use and carry out routine user maintenance on office equipment.
- Attend and record clear, accurate minutes at staff, Board, and committee meetings.
