Administrative Assistant π

We're looking for a proactive and organized Administrative Assistant to join us and help keep everything running smoothly. What you'll be doing:
- Master of Communication: Handle emails, phone calls, and mail, ensuring every message gets to the right place, fast! π§π
- Calendar King/Queen: Keep our directors' schedules on point. You'll be arranging meetings, client appointments, site visits, and business trips, then confirming all the details. π βοΈ
- Professional Connector: Liaise with clients, potential clients, suppliers, subcontractors, estate agents, accountants, and other key players β all with a professional touch. π€
- Document Dynamo: Prepare important correspondence and organize estimates, drawings, contracts, and other crucial business documents. π
- Record Keeper Extraordinaire: Maintain accurate and confidential records, files, spreadsheets, trackers, and simple project reports. ποΈ
- Financial Assistant: Help manage receipts and invoices (uploading to Hubdoc/Xero), work with our accountant on any missing info, and support basic financial tasks. (Directors will approve payments). π°
- Project Coordinator: Assist with organizing information and appointments for construction projects, property matters, and other business ventures. ποΈ
- Social Media Savvy: Prepare and schedule approved social media content, monitor business messages, and pass on any enquiries. π±
- All-Around Support: Help out in meetings, contribute to process improvement initiatives, and tackle other reasonable ad hoc admin and PA tasks as priorities shift. π
- Growth Opportunity: You'll receive training and supervision, with a chance to plan and evaluate an improvement to an administrative process. π±
