We're looking for a dynamic Office & Events Admin Assistant to join our team and keep the British Ceramics Biennial (BCB) running smoothly! What You'll Be Doing:
- Office Ace:
- Be the friendly voice and email responder for general inquiries. ๐๐ง
- Keep our digital and paper records sharp and organized. ๐
- Book flights, hotels, and tickets for our amazing team. โ๏ธ๐จ
- Set up and tidy meeting rooms, making sure everyone feels welcome. ๐
- Manage visitor access โ you're the first point of contact!
- Master our team's calendars, scheduling meetings like a pro. ๐
- Keep our office stocked and running with supplies. ๐
- Help prep documents, reports, and presentations. ๐
- Keep our CRM system up-to-date. ๐ป
- Support our RSVP processes โ making sure everyone gets in on the action! ๐
- Financial Friend:
- Process debit card expenses to help us balance the books. ๐ธ
- Liaise with the team to gather invoices and receipts. ๐งพ
- Use the Hubdoc system to process invoices when approved.
- Equipment Guru:
- Maintain our equipment storage system and track who's borrowing what. ๐ ๏ธ
- Ensure our tech is up-to-date and charged. โก
- Archive & Exhibition Extraordinaire:
- Organize and file paper records in the BCB Archive. ๐
- Assist with archive research visits.
- Support colleagues with admin tasks for exhibition submissions and selections. ๐ผ๏ธ
- Help coordinate group visits and tours of BCB.
- Welcome groups attending events and guide them to their tours or event areas.
- Help out with front-of-house duties at the British Ceramics Biennial.

Key responsibilities
- Provide general administration support, including responding to enquiries and preparing documents.
- Manage and update digital and paper records, including the CRM system.
- Assist with financial administration, processing expenditure and invoices.
- Maintain office equipment, meeting rooms, and visitor access.
- Support archive, exhibition, and group visit coordination.
