Project Administrator Apprentice ๐
Ready to kickstart your career in project management? We're looking for an organized and enthusiastic Project Administrator Apprentice to join our dynamic team! This is your chance to dive headfirst into the exciting world of project coordination, gain invaluable hands-on experience, and get paid while you learn. ๐
What You'll Be Doing:
- Mastering Project Docs: Keep our project folders, templates, trackers, and contact lists in check. ๐ You'll be the go-to for filing, naming, and version-controlling important documents like statements of work, plans, and reports.
- Keeping Systems Tidy: Update crucial project info in our systems, spreadsheets, Smartsheet, and SharePoint. Think of yourself as our digital organizer! ๐ป
- Prep Like a Pro: Help create standard project documents and packs, making sure everything looks professional and is complete. โจ
- Meeting & Greeting (Virtually & In-Person): Arrange project meetings, send invites, and book rooms or online links. You'll also take clear notes and circulate minutes. ๐
- Action Stations! Maintain action logs, chase up owners, and flag any overdue items to the Project Manager or Coordinator. ๐โโ๏ธ๐จ
- Communication Central: Draft routine emails and updates for review, and help direct queries to the right people. ๐ฃ๏ธ
- Logistics & Scheduling Support: Assist with requests for equipment, deliveries, travel, and engineer visits. You'll be liaising with Operations and Logistics to keep everything on track. ๐โ๏ธ
- Keeping It All Together: Maintain schedules, flag any potential delays, and keep records of project correspondence and receipts. ๐๏ธ๐งพ
- General Admin Awesomeness: Provide daily admin support to the Projects team โ printing, scanning, data entry, and document formatting are all part of the gig! ๐จ๏ธ
- Team Player Vibes: Help maintain shared mailboxes, calendars, and team information. You'll also provide cover for routine tasks when colleagues are away. ๐ค
- Confidentiality is Key: Handle company, customer, and employee information with the utmost care and in line with data protection rules. ๐

Key responsibilities
- Maintain project folders, templates, trackers, contact lists and document registers.
- Prepare draft agendas, take clear meeting notes and circulate minutes for review.
- Assist with raising and tracking routine requests for equipment, deliveries, access and visits.
- Provide day-to-day administrative support including printing, scanning, filing and data entry.
- Complete the required apprenticeship learning, assignments and reviews, applying learning in the workplace.
