You'll be the go-to person for all things admin, ensuring our learners and staff have a smooth experience. If you're good with details, love helping people, and can juggle tasks like a pro, this is the role for you! ✨
What You'll Be Doing:
- Onboarding Superpowers: Handle all the ins and outs of learner recruitment, interviews, and inductions, keeping all your paperwork, programme requirements, and documentation ship-shape. 📄
- Tech Wiz: Help our Learning Progression Advisor (LPA) and Centre Manager (CM) with uploading and maintaining data in Arbor. 💻
- DBS Dynamo: Get those DBS applications rolling by maintaining internal learner documentation and keeping the CM and LPA updated weekly on their status. 💯
- Bursary Boss: Manage the bursary application file and keep the Bursary Payments spreadsheet ready for finance and the centre every week. 💰
- Attendance Ace: Track learner attendance like a hawk, manage call-ups, and keep relevant support agencies and schools in the loop with reports. 📈
- Safety First: Maintain the Health & Safety signing-in book and update our centre's Health and Safety file. 🚨
- File Master: Compile and monitor all learner files, making sure signatures and documentation are spot-on. ✅
- Admin Guru: Collate, check, and process admin documents for all our programmes. 🗂️
- Filing Fanatic: Keep everything organised through various filing systems. 📦
- Report Runner: Provide the CM/LPA with individual Arbor attendance reports and completed induction questionnaires for six-week assessments. 📊
- Front Desk Champion: Answer the phone, handle enquiries, and be the friendly face and voice of our centre. 📞
- Data Dynamo: Input crucial data into Arbor and ILR systems. 🤖
- Info Hub: Keep learners informed about upcoming exams and shutdown periods. 🗓️
- Archive Architect: Manage the archiving of files for learners who have left the programme and complete yearly archiving in mid-August. 🏛️
- Employer & Placement Partner: Maintain records of employers and placements, and keep external contact details up-to-date. 🤝
- Progression Tracker: Monitor and update all progression information, providing monthly reports to the CM and LPA. 🌟
- Certificate Keeper: Maintain the learner certificate file. 🏅
- Stationery Sleuth: Keep track of stationery stock and arrange for supplies. ✏️
- Snack & Drink Supplier: Maintain and distribute learner snacks and drinks. 🍎🥤
- Meeting Marvel: Attend meetings and type up the minutes. ✍️
- Free School Meals Star: Maintain and process the free school meals spreadsheet. 💸
- Classroom Commander: Check classrooms at the end of the day and monitor fire exits. 🏫
- Mobile Maestro: Update your mobile phone with learner details. 📱
- Photocopier & Printer Pro: Ensure the photocopier is maintained and has paper and toner. 🖨️
- Tech Tracker: Maintain laptop and charger tracking, including usage and maintenance setup. 🖱️
- Calendar Calmer: Manage your diary and calendar effectively. 📅
- Promotional Pro: Represent First Rung at promotional events as requested. 🎉
- Results Day Rockstar: Assist the CM/LPA on results day. 🏆
- Location Versatile: Work at both our Colindale and Ponder End Centres as needed. 📍
- Learning Enthusiast: Attend training as directed by your Centre Manager or Assessor. 📚
- Qualification Champion: Complete all tasks set by your Assessor or Trainer for your L3 qualification. 🎓
- Confidentiality Guardian: Treat all employer, learner, and centre user details with the utmost confidentiality, complying with GDPR at all times. 🔒
- Learner Voice Leader: Lead the Learner Voice Forum and report to the Head of Centres and Inclusion.🗣️
- Award Assistant: Assist with the Jack Petchey Award when required. 🥇
- Policy Practitioner: Familiarise yourself with and actively practice First Rung’s Health and Safety and Equal Opportunity Policies. ⚖️
- Brand Ambassador: Play an active role in promoting First Rung’s marketing and PR image, including attending marketing events. 📣
- Safeguarding Champion: Be responsible for safeguarding and promoting the welfare of young people and vulnerable adults, following First Rung’s safeguarding policy. ❤️
- Team Player: Undertake other reasonable duties as requested within First Rung. 🚀
